Important Note:

This on-line form gathers all the data about each young person who is a member of, or who wishes to join, 1st Claygate Scout Group for Group use and will only be used for scouting purposes. The data will be used to provide annual statistics to the Scout Association regarding the nature of our membership but it will not be passed on to anyone else.

The data is stored in a website database specifically operated for 1st Claygate by one of the parents. Interaction with the website is secured using https security which ensures that all communication to and from the website is encrypted. Access to the website is controlled by the Group Scout Leader and the website servers are secured with 2048-bit SSH-2 RSA keys. The security of the website meets the Data Protection policy of The Scout Association as provided at scouts.org.uk/dataprotection.

It will be extracted into a spreadsheet for use locally by leaders. All adults handling this data are provided with instructions as part of the 'Adult Welcome Pack' which they receive on joining the Group

We acknowledge that some information is considered sensitive personal data under the Data Protection Act 1998 and as such will be managed as required under the act. Further information can be found at scouts.org.uk/dataprotection.

Communications

The Group will not pass on your e-mail address to other parties outside of Scouting and will only use it to provide information about scouting information and events. The Group’s policy on handling personal data is published on the website at http://www.claygatescouts.org/ in an electronic copy.

Ethnicity and Religious Information

This information is requested by The Scout Association to help in monitoring its membership. When provided to The Scout Association it is provided at a group level and is not personally identifiable.

The data will help the Association in understanding the makeup of the membership; monitoring progress against its inclusivity objective; prioritising development work both nationally and locally, and will identify and help Leaders meet any specific needs of individuals.

Use of Photography

On occasions, photographs, videos and audio of Scouts taking part in activities may be submitted to the local newspapers, the Group, District or County newsletters, websites or put on display.
